- Client 1:
This client’s day to day business operations was completely paper based with no concrete BPM system in place. With a lot of paper based interaction between their clients and certain government organization, this left room for significant automation & simplification. Operating six branches throughout Southern Africa poses its own set of challenges.
After conducting a full analysis of the business and the different role players etc. it quickly became clear that this client would be ideal for implementing a BPM solution.
Initial estimates indicated that there turnaround times per client averaged at around nine months before our BPM solution was implemented.
Our solution included a document management & storage system that seamlessly integrate with the business process. This enabled us to completely convert their day to day operations into a digital format, moving away from a costly paper based operation. The end result is a system that is completely transparent business process management system with dynamic deadline management and deadline escalations, automated notifications via e-mail, SMS or fax. Automated document storage and retrieval. This allows the client to also do comprehensive MIS reporting on concrete live data. Previously reporting was dependent on manual user input.
The BPM system also enables the client to view a live audit trail, which allows them to view exactly how each case progress, helping determine the bottle-necks in the process. This allowed them to efficiently correct the process to eliminate the bottle necks, improving there over all turnaround time.
- Client 2:
Business Process Mapping is one of our new services. This client wanted a graphical representation of the interaction between their internal departments as well as the roles for each person within the relevant department. The main goal for them was to be able to recruit for the various roles as everybody seemed to be doing a bit of everything. Another main goal was to also be able to see the problem areas across departments and whether the way they interact was really efficient.
- Client 3:
After purchasing a BPM suite to automate their business processes, this client approached Procentrica to perform a process mapping exercise on their day to day processes.
A complete analysis was performed as we met with key people to understand the business processes, to translate their knowledge of the business, into a process map that can be interpreted by the rest of the organization. Among these, were the product and availability process. The process links the different role players in the product sourcing process together in the most optimal way. The company’s loyalty program was also mapped, and included the card issuing and voucher redeeming processes.
The completed process specifications were delivered, enabling the client to commence their in-house BPM development.
- Client 4:
We implemented a Metastorm BPM solution for their HR Leave process.
The client’s process was a partly paper based operation, with data capturers inputting approved leave applications in the company’s SAP™ system. A solution was required that would enable users to submit leave requests onto the system, where managers only needed to perform an approve / decline action with no additional paperwork or manual data capturing into SAP™.
The delivered solution was a completely automated Leave Application process, fully integrated into the company’s SAP™ HR system. It enabled comprehensive validity checks on the electronic leave application forms, communicating with the SAP™ system to ensure data integrity. Automatic e-mail notifications for new requests, escalations and approvals were also part of the solution. This resulted in leave applications being completed in a fraction of the time, with complete audit trails and less of a time burden on the managers.
In future, the client is planning to roll the solution out to the rest of the group to sell as a business service.
